Because of SFM's growth and expansion into new operating territories, we are adding an HR Compliance Analyst to the Human Resources department. In this role, you will be reporting the CHRO and be responsible for ensuring compliance of HR's employment and benefit programs throughout its multi-state operations, which includes federal, state and local laws, policies, procedures and best practices.

This position will require you to manage HR's internal and external audits, regulatory employment filings, vendor management and business continuation plan as well as supporting SFM's AAP, company handbook and taking on new projects to assist with initiatives that involve SFM's growth in new states.

You will play a key role in planning and conducting companywide compliance training and communicate with key stakeholders within the organization providing updates regarding HR compliance related matters. You will bring your HR experience and critical thinking skills to this role for the purpose of assisting the CHRO with compliance-related projects and employee relations to ensure there is alignment with the Company's vision, values and service. Your experience working in Human Resources and analytical thinking style is needed for this position. The HR team emphasizes collaboration and helping each other be successful.

Hybrid work is offered, but some office time is required, so applicants must live in MN.

What You Will Be Doing:
  • Develops, implements, and maintains HR compliance metrics and tracks processes and audits for all programs to ensure adherence to all relevant regulations in a timely and accurate manner. Communicates findings to CHRO.
  • Coordinates and works with internal business partners when appropriate to oversee all internal and external audits related to the Company's employment and benefits-related systems and programs while maintain appropriate interactions with both internal and extern customers. . Prepares documentation, responds to inquiries, identifies areas of non-compliance and implements necessary changes based on audit findings.
  • Compiles, prepares and submits regulatory reports and documents including, but not limited to annual Affirmative Action Plan, EEO-1 reporting and other government filings. Monitors multi-jurisdictional compliance in states where the Company does business.
  • Regularly reviews and updates SFM's Employee Handbook to ensure guidelines and policies reflect compliance with employment laws and regulations based on multi-jurisdictions and may provide employee and leader training.
  • Conducts required compliance training as well as monitors specific changes in federal, state, and local employment laws that impact the Company's multi-state jurisdictions. Works closely with Sr. Organizational Development Specialist and CHRO to identify and plan required training using the prescribed learning management system.
  • Investigates compliance-related complaints, concerns, or incidents. Collaborates with HR, legal, and management teams to resolve issues in a timely, fair and consistent manner ensuring appropriate documentation and confidentiality.
  • Manages the HR vendor management process, by obtaining SOC audit reports (of new and existing vendors), reviews control exceptions and works with HR team members and corporate compliance on flagged exceptions. Maintains required documentation using OnSpring platform.
  • Works with CHRO regarding HR's business continuity plan (BCP) to ensure readiness in the event of a business threat impacting the Company. Works with team members to ensure payroll and other benefit programs back-up plans are developed, reviewed and tested for readiness.
  • Participates in HR-related projects when needed and collaborates with the CHRO to investigate, mediate, coach, guide and resolve employment issues (such as performance, harassment, code of ethics and other employment-related policy infraction).

What We'll Love About You
  • Bachelor's degree in Human Resources, Business or related area of study preferred; in lieu of a bachelors' degree equivalent combination of education and/or work experience is acceptable.
  • Minimum of 5 years work experience in compliance, legal, or regulatory focused role; expreince working within Human Resources is highly desirable.
  • Multi-jurisdictional experience.
  • Experience working in HRIS systems; expreince working with UKG very desirable.
  • Experience researching and interpreting HR and/or employment regulations, or other regulatory focused roles.
  • PHR, SPHR, SHRM-CP or SHRM-SCP designation a plus.
  • Strong knowledge and understanding of HR policies and procedures along with governmental laws and regulations.
  • Moderate knowledge of benefit related laws and regulations, including COBRA, ERISA, FMLA, HIPAA and PPACA.
  • Knowledge with Learning Management Systems, such as NAVEX or Lessonly, preferred.
  • Experience working on projects and the ability to successfully meet deadlines.
  • Strong understanding of HR business processes to maximize HRIS capabilities.
  • Strong understanding of HRIS and benefit carrier reporting functions, and proven ability to organize data in a user-friendly format.
  • Effective verbal, written, and presentation skills with demonstrated ability to present complex ideas to both employees and management.
  • Ability to handle stressful situations with confidence and diplomacy.
  • Excellent Microsoft Office Suite skills, with high proficiency with MS Excel.
  • Ability to maintain strict confidentiality when communicating or handling highly confidential information.
  • Resourceful, with good organizational and multi-tasking skills.
  • Strong interpersonal and teamwork skills.
  • Demonstrated ability to work effectively with a variety of people while delivering excellent customer service to internal and external customers.
  • Strong analytical/critical thinking and problem-solving skills; attention to detail.

Physical Requirements

Work takes place in a semi paperless environment within an office setting, either on business premises or other remote location, using standard office equipment such as computers, phones, and photocopiers, which requires being stationary for extended periods of time. While performing the duties of this job, the employee is regularly required to talk or hear, and maintain concentration and focus. The employee frequently is required to stand; walk; use hands and fingers, handle or feel; and reach with hands and arms and work with close vision. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds. Work is performed indoors with little to no exposure to extreme outdoor weather conditions. Regular attendance is required.
