We are currently looking for a fun-loving, energetic Office Manager to be based out of our Miami, FL office. In this role, you will provide incredible support to our office leadership while being a culture ambassador and finding a reason to celebrate every milestone!



Responsibilities

  • Be a trusted support and adviser to leadership team regarding all administrative needs while we pursue some of the largest, most complex, and exciting projects and real estate developments in America.
  • Assist team members with project contracts, fee proposal drafting, report preparation, and presentation preparation (QA/QC as needed).
  • As the Office Manager no task is too big or too small for you to take on. This includes office maintenance, ordering and putting away supplies, answering phones, being the face of the office and assisting the overall team.
  • Attend weekly department meetings, organize agenda, take meeting minutes, and follow up on all actionable items.
  • Coordinate travel and complete expense reports.
  • Maintain leadership calendars.
  • Input data into our company-wide Customer Relationship Management (CRM) site.
  • Plan and organize Happy Hours, Team Building events, Summer and Holiday parties.
  • Coordinate Lunch and Learns, Birthday/Anniversary lunches.
  • Provide high-level support to the office leaders.


Qualifications

  • High school diploma required.
  • Minimum of 5 years’ of experience as Office Manager or Executive Assistant with at least 2 years’ supporting at least 1 company executive is required.
  • Advanced efficiency with Microsoft Excel, Word, and Outlook.
  • Experience with Deltek, Concur or Cosential a plus.
  • Energetic and outgoing personality.
  • Ability to be in the office daily M-F with some felxibility as needed.
  • Ability to lift up to 15-20 pounds.
  • Always have thorough communication and intuitiveness to take initiative.
